Make the handover visible

An enquiry may sit between a shared inbox, a spreadsheet and a CRM record. A possible AI-assisted process can organise the incoming message, suggest an owner and prepare a response. The aim is a clearer handover with less repeated handling.

This is a proposed design pattern. It does not imply that sbPowerDev has deployed this exact solution or that every enquiry should be answered automatically.

One possible flow
  1. 01Receive the enquiry

Capture the request and assign an owner.

  2. 02Gather context

Classify the need and consult approved sources.

  3. 03Prepare a draft

Suggest a response and a next step.

  4. 04Review and follow up

The owner approves the response and tracks the action.

Illustrative design. Confirm sources, access, integrations and review rules for your process.

Capture the request before interpreting it

Store the original message, a stable request identifier and the received time. Identify whether attachments need processing and whether the message contains sensitive information. Define retention and access with the process owner.

Then ask the AI component to propose a category, a summary and missing information in a structured response. Validate the response against allowed categories; route ambiguity for review.

Ground the draft in approved information

Retrieve the relevant service information, account context and current guidance. Prepare a draft with enough evidence for a reviewer to assess it. Treat prices, commitments and contractual terms as controlled information.

A customer’s email can contain misleading instructions. It should not give the agent permission to reveal internal information or override an approval requirement.

Use a workflow for the authorised action

After review, the workflow can send the approved response, update the CRM and create a follow-up task. An owner should remain visible for each request. Copilot Studio provides agents and workflows; connector access and licensing need to be checked for the chosen systems.

Use a deduplication key before creating records or sending messages. If a downstream system is unavailable, preserve the request and expose a retry or escalation route rather than silently losing it.

Measure service quality as well as speed

Compare acknowledgement time, routing accuracy, duplicate actions, review effort and unresolved requests with the existing process. Include misclassified enquiries and incomplete information in testing.

Begin with drafting and suggested routing for one enquiry category. Expand the permitted actions only after the team has evidence that the process behaves as expected.
